At Forge Digix LLC (“Forge Digix,” “we,” “us,” or “our”), we develop and provide artificial intelligence solutions designed to support business communication, customer service, and operational efficiency.

This AI Usage & Disclosure Policy explains how artificial intelligence is used in our services, how AI-powered communications operate, what information may be processed, and the responsibilities of Forge Digix and its clients.

Our AI services include inbound AI Receptionists, AI Calling solutions, AI Chatbots, and AI Automation systems. The specific capabilities, configurations, and responsibilities associated with each service depend on the applicable client agreement.

This policy applies to AI-powered features operated by Forge Digix and AI solutions developed, configured, or managed for our clients, to the extent applicable to each service.

Please also review our Privacy Policy and Terms & Conditions for additional information about our data handling practices and contractual obligations.

1. Our Approach to Artificial Intelligence

Forge Digix uses artificial intelligence to help businesses manage customer interactions, automate routine activities, and improve operational efficiency.

Our AI solutions are intended to support legitimate business activities and operate according to the functionality agreed upon with each client.

We recognize that AI systems have limitations and that appropriate oversight, security, and legal compliance are important considerations when deploying automated technologies.

We aim to support responsible AI implementation through clear service agreements, appropriate system configuration, and cooperation with clients regarding their operational requirements.

2. AI Services Provided by Forge Digix

Forge Digix provides AI-powered business solutions that may include:

  • AI Receptionists: Automated voice agents that answer incoming customer calls and respond to routine inquiries.
  • AI Calling Solutions: Inbound voice-based systems that support customer communication and call management.
  • AI Chatbots: Conversational interfaces that respond to customer messages and website inquiries.
  • AI Automation: Systems that automate approved business processes and connect supported software platforms.
  • AI Integrations: Connections between AI systems and external business tools, communication platforms, and operational software.

The availability of specific features depends on the client’s selected service, technical configuration, and agreed scope of work.

3. Inbound AI Calling Services

Forge Digix currently provides AI Calling services designed to handle incoming telephone calls.

Our inbound AI receptionists may answer calls placed by customers or other individuals contacting a business that uses our services.

Depending on the configured functionality, an AI receptionist may:

  • Answer incoming telephone calls.
  • Respond to common business inquiries.
  • Provide information supplied or approved by the client.
  • Assist with appointment-related inquiries.
  • Collect relevant information from callers.
  • Transfer calls to an available human representative.
  • Perform other communication tasks authorized by the client.

Our current AI Calling offering is focused on inbound communication. Outbound automated calling is not included in the current service described by this policy.

Any future outbound calling services would require separate consideration of applicable telecommunications, consent, and consumer protection requirements.

4. AI Identity & Caller Disclosure

Forge Digix AI receptionists are designed to provide natural, conversational customer service experiences.

In the current configuration, an AI receptionist may introduce itself using a receptionist name or business greeting without automatically identifying itself as an artificial intelligence system at the beginning of the call.

Although the interaction may resemble a conversation with a human receptionist, the responses are generated by an automated AI-powered system.

Forge Digix recognizes that AI disclosure requirements may vary depending on the jurisdiction, communication context, and applicable laws.

Where an AI identity disclosure is legally required, the relevant deployment must be configured to provide the necessary notice.

Clients are responsible for communicating their applicable legal and operational requirements, while Forge Digix is responsible for fulfilling the obligations assigned to it under the relevant service agreement and applicable law.

AI systems must not be used to make materially deceptive claims about their identity, authority, capabilities, or the nature of a communication.

5. Call Recording

Forge Digix AI Calling solutions currently use call recording functionality.

Call recordings may contain information communicated during conversations between callers and AI-powered receptionists.

Depending on the purpose and configuration of the service, recorded information may include:

  • Caller names and contact information.
  • Questions and requests made during calls.
  • Appointment-related information.
  • Business-related details shared during conversations.
  • Other information voluntarily communicated by callers.

Our current recording configuration does not include the separate storage of call transcripts as a standard feature.

Call recording and consent requirements differ by jurisdiction. Some locations require consent from all parties involved in a recorded conversation.

Before activating call recording for a client, applicable notice and consent requirements must be identified and addressed.

Where legally required, callers must receive appropriate recording disclosures and consent mechanisms.

6. Call Recording Storage & Retention

The storage and retention of call recordings depend on the relevant client agreement, service configuration, and applicable legal requirements.

Forge Digix does not apply a single universal retention period to every client deployment.

Retention arrangements may consider:

  • The client’s business requirements.
  • The purpose for which recordings are collected.
  • Applicable privacy and telecommunications laws.
  • Technical capabilities of the selected service providers.
  • Contractual data retention and deletion requirements.

The responsible parties, retention period, access permissions, and deletion procedures should be established in the relevant client agreement or associated data processing documentation.

Recordings should not be retained longer than necessary for their authorized purposes, subject to applicable legal obligations.

7. Live Call Transfer to Human Representatives

Forge Digix AI receptionists support live call transfer functionality.

Depending on the client’s configuration, an AI receptionist may transfer a caller to a designated human representative when human assistance is required.

Call transfer may be appropriate when:

  • A caller requests to speak with a human representative.
  • An inquiry falls outside the AI system’s approved knowledge or capabilities.
  • A situation requires additional human judgment.
  • The client has established specific call escalation rules.

Successful transfer depends on the availability of the designated destination, telecommunications connectivity, and the client’s configured call routing arrangements.

Forge Digix does not guarantee that a human representative will be available to answer every transferred call.

8. AI Chatbots & Website Conversations

Forge Digix may provide AI-powered chatbots that communicate with website visitors or customers through supported digital channels.

These systems may generate automated responses based on configured instructions, business information, and the capabilities of the underlying AI technology.

Depending on the implementation, chatbot interactions may involve processing:

  • Customer questions and messages.
  • Names and contact details voluntarily provided by users.
  • Business or service inquiries.
  • Information necessary to perform approved chatbot functions.

Chatbot data storage, retention, and access arrangements depend on the applicable provider configuration and client agreement.

Users should avoid providing unnecessary sensitive personal information unless the relevant system has been specifically approved and configured to process that information.

9. AI Automation & Business Integrations

Forge Digix develops and configures AI Automation solutions to help businesses streamline approved operational processes.

Depending on the agreed project, automated workflows may:

  • Process incoming customer inquiries.
  • Connect business applications and systems.
  • Support appointment scheduling workflows.
  • Route information between authorized platforms.
  • Generate operational notifications.
  • Perform other tasks approved by the client.

AI Automation systems operate according to their configured permissions, available information, and connected third-party services.

Clients are responsible for reviewing the business actions they authorize, and Forge Digix is responsible for implementing the agreed functionality in accordance with the applicable service agreement.

10. Third-Party AI & Technology Providers

Forge Digix may use third-party technology providers to deliver AI Calling, AI Chatbot, and AI Automation services.

Depending on the selected implementation, these providers may support:

  • AI language processing and response generation.
  • Speech recognition and voice synthesis.
  • Telephone connectivity and call routing.
  • Call recording and storage.
  • Website chat functionality.
  • Automation and software integrations.
  • Hosting and technical infrastructure.

The specific providers used for a deployment are selected according to the client’s requirements, technical needs, and applicable service arrangements.

Forge Digix has not established a single universal AI or telecommunications provider for every client deployment.

Relevant provider identities, data processing arrangements, and applicable contractual obligations should be documented before the deployment processes live customer information.

11. AI Model Training & Data Usage

The use of customer data for AI model training or service improvement depends on the selected technology providers, their contractual terms, applicable settings, and the relevant client agreement.

Forge Digix does not represent that all third-party AI providers follow identical data training or retention practices.

Before a system processes live customer information, applicable provider settings and contractual terms should be reviewed to determine whether data may be used for model training or other secondary purposes.

Where necessary, appropriate contractual restrictions or available provider controls should be implemented to meet the client’s agreed data handling requirements.

Personal or sensitive information must not be used for unauthorized purposes.

12. Customer Data Ownership & Responsibilities

Responsibilities for customer data are established according to the applicable client agreement and the nature of the AI service.

Depending on the deployment, the client, Forge Digix, and relevant third-party providers may have different responsibilities relating to:

  • Data collection and authorized use.
  • Access to customer information.
  • Storage and retention.
  • Data deletion requests.
  • Security safeguards.
  • Privacy notices and consent.
  • Compliance with applicable laws.

These responsibilities should be documented in the applicable service agreement and, where appropriate, a data processing agreement.

Forge Digix will handle information according to its contractual obligations and applicable legal requirements.

13. Healthcare AI & Protected Health Information

Forge Digix may provide AI-powered communication and automation solutions for healthcare organizations.

These solutions may be intended to support activities such as patient inquiries, appointment coordination, and administrative communication.

Some healthcare deployments may involve protected health information (“PHI”) subject to the Health Insurance Portability and Accountability Act (“HIPAA”) and related requirements.

Processing PHI requires an appropriately configured and legally compliant environment.

Before a healthcare deployment processes PHI, the relevant parties must determine and implement applicable requirements, which may include:

  • Appropriate Business Associate Agreements (BAAs).
  • Suitable agreements with relevant technology providers and subcontractors.
  • Administrative, physical, and technical safeguards required by applicable law.
  • Access controls and authorized data handling procedures.
  • Appropriate retention and deletion arrangements.
  • Applicable privacy and security compliance procedures.

Forge Digix does not represent that every AI provider or standard AI deployment is automatically HIPAA compliant.

PHI must not be introduced into a deployment until the necessary compliance arrangements have been established.

14. Medical Advice & Emergency Limitations

AI receptionists and chatbots provided for healthcare organizations are intended to support approved administrative and communication functions.

Unless a separate solution has been specifically developed, validated, and authorized for an appropriate regulated purpose, these systems are not intended to:

  • Diagnose medical conditions.
  • Prescribe treatments or medications.
  • Replace licensed healthcare professionals.
  • Provide emergency medical assistance.
  • Make independent clinical decisions.

Healthcare clients should establish appropriate escalation procedures for urgent or sensitive inquiries.

Individuals experiencing a medical emergency should contact their local emergency services rather than relying on an AI receptionist or chatbot.

15. AI Accuracy & Technical Limitations

Artificial intelligence systems may occasionally generate inaccurate, incomplete, outdated, or unexpected responses.

AI performance can be affected by:

  • Incorrect or incomplete business information.
  • Speech recognition errors.
  • Background noise or poor call quality.
  • Ambiguous customer requests.
  • Third-party service disruptions.
  • Changes to connected business systems.
  • Technical limitations of the underlying AI technology.

Forge Digix does not guarantee that AI-generated responses will be accurate or appropriate in every situation.

Clients should maintain suitable oversight and review procedures for important customer interactions and business decisions.

16. Human Oversight & Quality Management

Forge Digix encourages appropriate human oversight of AI-powered business systems.

Depending on the service and client agreement, oversight may include:

  • Reviewing AI system performance.
  • Updating approved business information.
  • Identifying inaccurate or inappropriate responses.
  • Managing call transfer and escalation procedures.
  • Reviewing automation outcomes.
  • Correcting configuration issues.

The allocation of monitoring, review, and operational responsibilities will depend on the applicable service arrangement.

Human oversight is particularly important where AI interactions involve sensitive information, regulated activities, or decisions with significant consequences.

17. Privacy & Data Security

Forge Digix recognizes the importance of protecting personal information and confidential business data processed through AI systems.

Appropriate security measures must be determined based on the service configuration, the categories of information involved, and applicable contractual or legal requirements.

Depending on the deployment, safeguards may include:

  • Access restrictions and authentication controls.
  • Secure configuration of connected systems.
  • Appropriate provider security arrangements.
  • Restrictions on unauthorized data access or disclosure.
  • Documented data retention and deletion procedures.
  • Additional controls for sensitive or regulated information.

No internet-connected or AI-powered system can be guaranteed to be completely secure.

Additional information about our general privacy practices is available in our Privacy Policy.

18. Legal Compliance & Communication Requirements

AI-powered communication systems may be subject to telecommunications, privacy, consumer protection, recording, and AI-specific laws.

Applicable requirements depend on factors such as the location of the business and caller, the purpose of the communication, whether recording is enabled, and the technology used.

Forge Digix currently focuses its AI Calling service on inbound communications.

Clients and Forge Digix must fulfill their respective legal obligations, including any applicable requirements relating to:

  • AI identity disclosure.
  • Call recording notices and consent.
  • Personal information processing.
  • Healthcare information protection.
  • Consumer protection and deceptive practices.
  • Security and confidentiality.

The allocation of compliance responsibilities will be documented in the relevant service agreement where appropriate.

Nothing in this policy authorizes conduct that is prohibited by applicable law.

19. Prohibited Uses

Forge Digix AI services must not be used for unlawful, fraudulent, deceptive, or harmful activities.

Prohibited activities include:

  • Fraudulent impersonation or materially deceptive communications.
  • Unauthorized recording or surveillance.
  • Unlawful collection or disclosure of personal information.
  • Harassment or threatening communications.
  • Unauthorized access to systems or accounts.
  • Use of AI systems for activities that violate applicable laws.
  • Processing regulated information without required safeguards or agreements.

Forge Digix may take appropriate action where prohibited activity is identified, including suspension of affected services where permitted by the applicable agreement and law.

20. Service Availability & Dependencies

AI Calling, AI Chatbot, and AI Automation services may rely on third-party infrastructure, telecommunications networks, AI models, APIs, and external software platforms.

Availability and performance may be affected by internet connectivity, provider outages, system maintenance, service limits, or other technical dependencies.

Forge Digix will provide the services and support established in the applicable agreement.

Any specific uptime guarantees, response commitments, or service-level obligations must be expressly documented in the relevant agreement.

21. Client Responsibilities

Clients using Forge Digix AI solutions are responsible for operating those solutions according to their approved business purposes and applicable legal requirements.

Depending on the service, client responsibilities may include:

  • Providing accurate business information and instructions.
  • Identifying relevant legal and regulatory requirements.
  • Providing required notices and obtaining necessary consent.
  • Maintaining suitable human oversight.
  • Protecting access to connected business systems.
  • Communicating changes to operational requirements.
  • Establishing appropriate procedures for sensitive information.

Forge Digix remains responsible for its own obligations under the applicable service agreement and law.

22. Changes to This Policy

Forge Digix may update this AI Usage & Disclosure Policy to reflect changes in its AI services, technology providers, operational practices, or applicable legal requirements.

Updates will be published on this page with a revised “Last Updated” date.

Material changes affecting existing client commitments will be handled according to the relevant service agreement and applicable law.
