Effective Date: October 8, 2026

At Forge Digix LLC (“Forge Digix,” “we,” “us,” or “our”), we are committed to providing reliable digital solutions, transparent billing, and professional service delivery. We believe our clients should have a clear understanding of their payment obligations, cancellation options, and refund rights before engaging our services.

This Refund & Cancellation Policy explains the terms governing advance payments, project cancellations, sprint-based billing, refunds, and monthly subscription cancellations.

This policy applies to our Website Development, UI/UX Design, Digital Marketing, Search Engine Optimization (SEO), AI Automation, and AI Calling & Chatbot services.

By purchasing or using our services, you acknowledge this policy, our Terms & Conditions, and any applicable project proposal or service agreement.

Where a separately signed agreement contains different terms, that agreement will govern the relevant engagement, subject to applicable law.

1. Our Refund Commitment

Forge Digix is committed to delivering the services and project requirements agreed upon with each client.

If we fail to fulfill a material delivery commitment, we will first seek to resolve the issue by correcting the outstanding work or proposing a revised delivery timeline for the client’s agreement.

If the issue remains unresolved, the client may request a refund review.

Refunds are limited to payments attributable to work that has not been delivered or remains incomplete. Work already completed and delivered is generally not refundable, except where applicable law or an individually agreed contract provides otherwise.

Refund eligibility is assessed using the documented project scope, agreed milestones, work completed, payments received, and circumstances surrounding the request.

2. Advance Payment Policy

Forge Digix requires an initial advance payment of 25% of the total agreed project price before commencing project work, unless otherwise agreed in writing.

The advance payment allows us to allocate resources, organize project requirements, and begin the agreed planning and development activities.

The remaining 75% of the project price is payable through the agreed sprint-based billing structure.

If a client requests cancellation before project work begins, the advance payment is eligible for a refund after deducting actual, reasonable costs already incurred in connection with the project.

Any deductions will be based on identifiable project-related expenses or services already performed and will be explained to the client.

If no deductible costs have been incurred, the advance payment will be refunded in full.

3. Sprint-Based Payment Structure

Forge Digix divides the remaining project balance into sprint-based payments according to the size, complexity, and requirements of each project.

The number of sprints, their deliverables, and their associated payment amounts are determined before project execution and documented in the applicable proposal or service agreement.

Each sprint may include specific design, development, integration, testing, or implementation tasks.

Payments associated with completed and delivered sprint work are generally not refundable.

Payments attributable to incomplete or undelivered sprint work may be eligible for refund according to this policy.

If a project is canceled before all sprints are completed, the outstanding work and payments will be reviewed to determine the amount, if any, eligible for refund.

4. Refund Eligibility

A refund may be available when Forge Digix does not fulfill an agreed service or delivery commitment.

Situations that may qualify for refund consideration include:

  • Failure to deliver material project requirements within the agreed timeline without an approved extension.
  • Failure to complete an agreed sprint or milestone due to circumstances attributable to Forge Digix.
  • Failure to provide a material deliverable included in the approved project scope.
  • Unresolved incomplete work after Forge Digix has been given an appropriate opportunity to correct the issue or agree on a revised delivery arrangement.

Refunds are calculated based on the value of the incomplete or undelivered work for which the client has already paid.

Completed and delivered work is excluded from the refundable amount, subject to applicable law and any different terms expressly agreed in writing.

5. Refund Calculation

Forge Digix calculates eligible refunds according to the value of work that remains incomplete or undelivered.

The assessment may consider:

  • The total agreed project price.
  • Payments already received.
  • The value of completed and delivered work.
  • The value of incomplete or undelivered deliverables.
  • The agreed sprint or milestone payment allocation.
  • Any approved changes to the project scope.

Where a sprint or milestone has an agreed payment allocation, that allocation will be used to help determine the refundable amount.

If a payment covers both completed and incomplete work, the refundable portion will be determined using a reasonable allocation based on the documented scope and work performed.

Refunds will not exceed the amount already paid for the affected incomplete or undelivered work.

No refund will be issued for amounts that have not been paid.

6. Resolution Before Refund Review

If Forge Digix misses an agreed delivery commitment or fails to complete a required deliverable, our first priority is to resolve the issue professionally.

Depending on the circumstances, we may offer:

  • Correction of the incomplete or nonconforming work.
  • Completion of outstanding deliverables.
  • A revised delivery schedule for the client’s approval.
  • Another mutually acceptable resolution consistent with the project agreement.

Any revised delivery timeline must be communicated to the client and mutually agreed upon.

If the proposed resolution is unsuccessful, cannot reasonably be completed, or does not resolve the missed commitment, the client may request a refund review for the affected incomplete or undelivered work.

This process does not restrict any remedies that the client may be entitled to under applicable law.

7. Project Cancellation Before Work Begins

Clients may request cancellation before project work begins by contacting Forge Digix in writing.

In this situation, the initial 25% advance payment will be refunded after deducting actual, reasonable project-related costs already incurred.

Such costs may include authorized third-party purchases, reserved external services, or other identifiable expenses incurred specifically for the project.

Forge Digix will provide an explanation of any applicable deductions.

If no project-related costs have been incurred, the full advance payment will be returned.

8. Project Cancellation After Work Begins

Clients may request cancellation of an active project by providing written notice to Forge Digix.

Upon receiving the request, we will review the project status, completed deliverables, active sprints, and payments received.

Payments attributable to completed and delivered work are generally non-refundable.

Any amount already paid for incomplete or undelivered work will be reviewed for refund eligibility, subject to the agreed project terms and applicable law.

Any outstanding amounts payable for work already performed will be determined under the applicable service agreement.

Clients are encouraged to submit cancellation requests promptly to avoid unnecessary additional work or expenses.

9. Project Timelines & Client-Related Delays

Project delivery schedules depend on the agreed scope, technical requirements, and timely cooperation between Forge Digix and the client.

Delays may occur when:

  • Required content, materials, or information are not provided on time.
  • Client feedback or approvals are delayed.
  • Necessary website, hosting, or platform access is unavailable.
  • Additional functionality or major changes are requested.
  • Third-party services experience outages or technical issues.
  • Events beyond reasonable control affect delivery.

Where such circumstances materially affect the schedule, Forge Digix will communicate the issue and seek agreement on an updated delivery timeline.

A delay resulting from the client’s actions or an external dependency does not automatically qualify as a failure by Forge Digix to meet its original delivery commitment.

Refund eligibility will be assessed according to the applicable commitments, agreed timeline changes, and circumstances of the delay.

10. Unlimited Revisions & Major Change Requests

Forge Digix provides unlimited revisions within the originally agreed project scope during the applicable development and review process.

These revisions are intended to help ensure that delivered work meets the approved requirements.

In-scope revisions may include:

  • Design refinements.
  • Layout and spacing adjustments.
  • Typography and color modifications.
  • Corrections to agreed functionality.
  • Reasonable improvements within the approved requirements.

Major change requests that introduce new functionality, additional pages, substantial redesigns, or requirements outside the original scope may incur additional charges.

Additional charges will be communicated before chargeable work begins.

Unlimited revisions do not include unlimited expansion of the original project scope.

11. AI Calling & Automation Subscription Billing

Forge Digix offers AI Calling, AI Receptionist, Chatbot, and AI Automation services through monthly subscription plans.

Subscription pricing, included features, usage allowances, and billing dates are established in the applicable subscription agreement.

Monthly subscription charges cover the services available during the relevant billing period, subject to the agreed plan.

Additional usage charges, third-party costs, or separately agreed services may be billed according to the applicable agreement.

12. AI Subscription Cancellation Policy

Clients may request cancellation of their monthly AI subscription at any time.

Cancellation becomes effective at the end of the current billing period, and the subscription will not renew for the next billing cycle, provided the cancellation request is received before the next renewal is processed.

Clients will generally retain access to their subscribed services until the end of the current paid billing period, subject to the applicable agreement.

Normal subscription cancellations do not qualify for refunds for unused days remaining in the current billing period.

Cancellation does not eliminate charges already incurred or outstanding amounts payable under the applicable subscription agreement.

Where Forge Digix materially fails to provide an agreed subscription service, the client may request a separate review of the affected service charges, subject to applicable law and contractual terms.

13. Third-Party Services & External Charges

Forge Digix projects and subscriptions may involve external providers, software platforms, hosting services, APIs, telecommunications systems, and other third-party products.

Examples include:

  • Domain registration and website hosting.
  • Premium software, themes, and plugins.
  • AI API and model usage.
  • Telephone numbers, call minutes, and messaging services.
  • Automation and integration platforms.
  • Advertising platform budgets.

Third-party providers maintain their own refund and cancellation policies.

Charges paid directly to external providers are governed by those providers’ terms.

Where Forge Digix purchases third-party services on behalf of a client, any refund or credit will depend on the relevant provider’s terms, the agreed arrangement, and applicable law.

14. One Month of Free Post-Delivery Support

Forge Digix provides one month of complimentary support following final project delivery or launch, as agreed with the client.

This support is intended to address issues directly related to the original delivered project.

Complimentary support may include:

  • Correction of reproducible bugs attributable to our work.
  • Assistance with agreed website functionality.
  • Guidance on using delivered features.
  • Reasonable technical assistance relating to the completed project.

Free support does not automatically include additional features, major redesigns, new integrations, or unrelated modifications.

Requests outside the agreed support scope may require a separate quotation.

After the complimentary support period ends, clients may request ongoing maintenance or support under a separate arrangement.

15. How to Request a Refund

Clients who believe they qualify for a refund should submit a written request to Forge Digix.

To help us review the request, please provide:

  • Your name and business name.
  • The relevant project or subscription details.
  • Invoice numbers or payment information.
  • A description of the incomplete or undelivered work.
  • The original agreed delivery commitments.
  • Relevant correspondence or supporting documentation.

Refund requests should be emailed to hello@forgedigix.com.

We will review the available information and communicate the outcome of the assessment.

Additional information may be requested where reasonably necessary to evaluate the claim.

16. Approved Refund Processing Time

Once a refund has been reviewed and approved, Forge Digix will initiate the refund within 7–14 business days following approval.

Business days generally exclude weekends and applicable public holidays.

Refunds will ordinarily be issued through the original payment method where reasonably available.

The time required for refunded funds to appear in the client’s account may vary depending on the payment processor, bank, and payment method.

International transactions may also be affected by banking procedures, currency conversion, and payment provider processing requirements.

Where the original payment method cannot be used, an alternative refund method may be arranged with the client.

17. Refund Disputes & Resolution

Forge Digix aims to resolve refund and cancellation concerns fairly and professionally.

If a client disagrees with a refund determination, they may provide additional relevant information and request further review.

Both parties are encouraged to communicate in good faith and seek an appropriate resolution.

Any formal dispute resolution process will be governed by the applicable service agreement, our Terms & Conditions, and relevant laws.

Nothing in this policy limits or excludes rights or remedies that cannot lawfully be restricted.

18. Changes to This Policy

Forge Digix may update this Refund & Cancellation Policy to reflect changes in our services, business operations, payment procedures, or applicable legal requirements.

Any updates will be published on this page with a revised “Last Updated” date.

Changes affecting existing contractual commitments will be handled according to the applicable agreements and legal requirements.
